AI integration & process automation

Put AI to work where it actually pays.

We find the hours your team loses to manual work, then design and build the automations and AI systems that give them back — measured, secure, and owned by you.

  • Fixed-scope pricing
  • You own everything we build
  • ROI measured from day one

The problem

Your best people shouldn’t spend their week on copy and paste.

Manual handoffs are slow, error-prone, and expensive — and they’re easy to miss, because everyone has learned to work around them.

Work that shouldn’t need a person

Retyping orders from PDFs, chasing approvals over email, reconciling spreadsheets every Friday. Skilled people lose hours each week to tasks a well-built system handles in seconds, with fewer errors.

Tools that don’t talk to each other

Your CRM, accounting system, and inbox each hold part of the picture. People bridge the gaps by hand, records drift out of sync, and nobody fully trusts the reports.

AI pilots that never ship

A promising ChatGPT experiment or vendor demo stalls because no one owns the integration, the security review, or the change for the team. The idea stays on a slide while the manual work continues.

Who we help

Leaner operations, whether you’re scaling or starting out.

Established teams get a clear audit and targeted fixes; new ventures get operations designed around automation from day one.

Already running

Fix the workflows you already have

For businesses with 10–500 people whose growth has outpaced their processes.

  • Map how work actually flows today, workarounds included
  • Rank opportunities by hours saved, cost, and risk
  • Connect the systems you already pay for before adding new ones
  • Roll out in stages, without disrupting daily operations

Building something new

Launch with AI-native operations

For founders and new business units who want lean operations from the start, not a cleanup project in year two.

  • Design workflows around automation and AI from the outset
  • Choose a lean, vendor-neutral tool stack that scales with you
  • Model the costs: what to automate now and what can wait
  • Launch with documented processes your first hires can follow

How we work

A clear path from first call to measured results.

Four stages, each ending in something concrete — so you always know what you’re paying for and what comes next.

  1. Discover

We talk to the people who do the work, review your systems and data, and record a baseline: how long each process takes, how often it goes wrong, and what it costs.

Week 1 · Baseline metrics and process inventory

  2. Map

We map each process as it runs today, redesign it, and score every automation opportunity by value, effort, and risk. You decide what moves forward.

Week 2 · Process maps and prioritized roadmap

  3. Build

We build in short iterations inside your own accounts, test against real cases, and roll out in stages with your team. People keep control of the decisions that matter.

From week 3 · typically 3–8 weeks per phase · Working automations, documentation, and training

  4. Measure

We compare results against the baseline, report the hours and dollars returned, and tune whatever underperforms. If something isn’t paying off, we tell you.

Ongoing · ROI report against your baseline

ROI calculator

See what repetitive work costs you each year.

Use your own numbers. A rough estimate is enough to tell whether a conversation is worth your time.

Data entry, copying between systems, chasing approvals, building reports.

Wages plus benefits, payroll taxes, and overhead.

Rarely 100% — some steps need judgment, and people stay in the loop.

Estimated value returned per year

$82,800

Hours returned per year
1,840
Full-time equivalents
1.0

How we estimate: people × hours per week × automatable share × 46 working weeks, valued at your hourly cost. One full-time equivalent = 1,840 hours a year. It leaves out fewer errors and faster turnaround, and it’s an estimate, not a quote — the audit measures the real numbers.

Example outcomes

What getting hours back looks like in practice.

These are illustrative scenarios, not client results: realistic examples of the work we do and how we measure it.

Illustrative example

Order entry at a 60-person distributor

Customer service reps retype purchase orders from emailed PDFs into NetSuite — about 25 hours a week across the team, with regular keying errors. An AI step reads each PO, matches SKUs and prices, and drafts the sales order. A rep reviews anything that doesn’t match before it posts.

~17 hours a week back to customer service

Illustrative example

Client onboarding at a 25-person accounting firm

New clients get a dozen emails, a PDF checklist, and repeated requests for documents. One intake form, automatic document collection with reminders, and records created in the practice-management system and Microsoft 365. Partners still approve every engagement letter.

Onboarding cut from ~2 weeks to ~3 days

Illustrative example

A new subscription-box venture

A founder plans a curated subscription business. Instead of hiring for support and fulfillment coordination up front, orders flow from Shopify to the fulfillment partner automatically, AI drafts replies to routine support questions for a person to approve, and churn risks are flagged weekly.

Why Operwise

Built to earn your trust, not to lock you in.

Five principles shape every engagement — hold us to them.

  • Vendor-neutral

We recommend what fits your work — often the tools you already pay for — and disclose any vendor relationship up front.

  • You own everything

Code, workflows, prompts, accounts, and documentation live in your environment and belong to you. No black boxes.

  • Security and privacy first

Least-privilege access, an NDA before we see anything sensitive, and your data kept in your systems. AI services are used only under business terms that exclude your data from model training.

  • Humans in the loop

AI drafts, sorts, and checks; people approve the decisions that matter. Every automation has an owner, a log, and a manual fallback.

  • Scoped to outcomes

Every project starts with a measured baseline and a target, at a fixed price — so you know the cost and the goal before we start.

Pricing

Know the price before we start.

FAQ

Straight answers to the questions buyers ask.

Security, staffing, cost, and what happens if it doesn’t work out.

Is our data safe with you?

Security is part of the design, not an afterthought. We work inside your own accounts with least-privilege access that you grant and can revoke at any time. We sign an NDA before we see anything sensitive, keep your data in your systems rather than copying it to ours, and use AI services under business terms that exclude your data from model training. If you have a security review or data-processing agreement, we follow it.

Will automation replace my staff?

That’s rarely the goal, and it’s always your decision. Most of the value comes from taking the repetitive part out of people’s jobs, so they can spend more time on customers and judgment calls, and so the team can handle more volume without extra hires. We involve your team from the first interview, and people approve the decisions that matter.

Which tools and AI models do you work with?

We’re vendor-neutral and start with what you already use: HubSpot and Salesforce, QuickBooks and NetSuite, Microsoft 365, Google Workspace, Slack, and integration platforms such as Zapier, Make, and n8n. For AI we use models from OpenAI, Anthropic, and others, chosen per task for accuracy, cost, and data requirements. When off-the-shelf tools don’t fit, we write custom code.

How long until we see results?

The audit takes two weeks and gives you a costed roadmap. We aim to have a first automation live within a few weeks after that, and larger builds roll out in phases, so you see value along the way rather than all at the end.

What if it doesn’t pay off?

We limit that risk at every step. The audit is guaranteed: if it doesn’t identify at least 3× its fee in annual savings, you don’t pay. We agree the savings method and sign off your baseline in week 1; the fee is invoiced up front and refunded in full if the audit falls short. Builds have a fixed scope and are measured against a baseline we record before we start. And if an opportunity doesn’t hold up on the numbers, we’ll recommend you don’t build it.

Who owns what you build?

You do. Code, workflows, prompts, accounts, and documentation live in your environment and are yours in full. Software subscriptions are in your company’s name, so you never depend on us to keep things running.

Who maintains it after launch?

Every build ships with documentation, monitoring, and training so your team can run it. If you’d rather hand that off, the Optimization Partner retainer covers monitoring, fixes, updates as AI models and vendor APIs change, and ongoing improvements.

Who will actually do the work?

Every engagement has one named Operwise lead who runs it from start to finish and is your single point of contact. For larger builds we bring in vetted specialist contractors, under the same NDA and security standards. You’ll always know who has access to what.

We’re a brand-new business. Is it too early?

No — it’s the cheapest time to get operations right. Designing processes around automation before habits form is far easier than retrofitting them later. Our AI-Native Venture Design service is built for founders and new business units.
